Assistant Project Manager, GIZ International Services
Main Responsibilities
- Assisting the Project Managers in matters related to project acquisition and project implementation.
- Screening of new opportunities on a daily basis, identifying potential partnerships and searching potential experts for business development purposes.
- Supporting in preparation of letter of interest and technical proposals by providing necessary administrative and thematic inputs.
- Support the Project Managers in the coordination of the proposal writing and partner teams during project acquisition.
- Maintaining communication with local and international consortium partners for junior projects, keeping track of the resource allocation, ensuring delivery of outputs by the respective partner/expert.
- Support in reviewing, finalizing and submitting technical project reports and support in translation from English to Turkish and vice versa and the layout work,
- Guiding the project assistants and junior consultants in their daily work, provide guidance on GIZ rules and regulations as well as EU project implementation.
- Performing necessary office management tasks and keeping track of the daily communication and incoming/outgoing register.
- Ensuring the interdepartmental cooperation between InS and GIZ Türkiye Service Unit for finances, administrative and procurement services.
- Supporting the processing of the invoices for the services received and preparing the payment sets for delivering them to the Service Unit accurately and without errors.
- Ensuring that all necessary financial and administrative documentation is prepared in accordance with internal and external audit requirements.
- Drafting the contracts with the experts and suppliers and processing contracts with the Service Unit and GIZ HQ.
- Coordination of the contracting and tender processes with the experts/service providers and with the Service Unit.
- Meeting the administrative needs (office supplies, IT track) of the office independently with a minimum of intervention by coordinating with the respective units/departments.
- Keeping meeting minutes of the meetings if required
- Carrying out specific tasks in connection with knowledge management for InS and projects. Proper archiving of the data, filing documents in reference files, in DMS and MS Teams channels in line with GIZ’s filing rules and keeping the records up to date.
?- Coordinate the parcels to be sent to the GIZ office in Ankara and other project counterparts and keep the track of the delivery.
- Perform any other task as required by the Project Managers
Where appropriate and reasonable, the position holder is willing to perform tasks outside the scope of the job description.

Required qualifications, competencies, and experience
Education
- University degree in Social Sciences, Financial Management or Administration or other relevant field is a must.
Professional Experience
- At least 2 years’ professional experience in a comparable position is required.
- 1-year professional experience with EU projects will be an asset.
Other Knowledge and Additional Competencies
- Good working knowledge of ITC technologies and computer applications (e.g. MS Office tools)
- Good management, time management, and organisational skills
- Ability to work proactively and independently
- Ability to work to tight deadlines
- Native in Turkish, excellent in English is a must. Knowledge of German will be an asset.
